An outbound sequence is a structured, multi-touch outreach campaign delivered across email and LinkedIn that runs automatically based on a trigger condition. This page covers what each component of an automated sequence does, how trigger-based enrollment works, and what connects the sequence to your CRM and enrichment layer.
The definition
An outbound sequence is a pre-defined set of messages, delivered at scheduled intervals across email and LinkedIn, to a prospect who has been enrolled based on a qualifying condition. The sequence handles delivery, timing, and follow-up logic. The rep handles replies.
The distinction between a manually managed outreach process and an automated sequence is enrollment. In a manual process, someone has to decide to reach out, find the contact, write the message, and track the follow-up. In an automated sequence, that entire chain runs from trigger to reply without manual input.
The tools that run outbound sequences (Smartlead, Apollo, HeyReach) handle the delivery layer. The automation system (n8n) handles the enrollment logic: who gets added, based on what condition, with what message variant.
The components
Trigger condition
What causes a prospect to enter the sequence. ICP match, buyer signal, inbound inquiry, or enrichment completion. Automated sequences run without manual enrollment.
Touch cadence
The schedule and mix of email and LinkedIn touches. Day 1 email, day 3 LinkedIn connection, day 5 follow-up email. Cadences vary by ICP segment and deal size.
Personalization layer
Signal-based copy at the contact level, not merge fields. The message content references something specific to this prospect at this time.
Reply detection and routing
Positive replies pause the sequence and notify the rep. Neutral replies can trigger a follow-up branch. Out-of-office replies pause and reschedule.
Exit conditions
Disqualified by ICP check, reply received, unsubscribe, or maximum touch limit reached. Sequences should know when to stop without a rep manually pulling someone out.
The payback
From kickoff to first automated sequences live in production
Required when sequences are triggered by CRM events or enrichment completion automatically
Recovered across ops and revenue teams when outbound runs on automated infrastructure
How we build it
We build trigger-to-enrollment flows on n8n that connect your CRM (HubSpot or Salesforce) to your sequencer (Smartlead, Apollo, or HeyReach). When a contact meets the enrollment criteria, the workflow enriches and verifies the record, then calls the sequencer API to add the contact to the right sequence with the right variant.
LinkedIn outreach runs in parallel through HeyReach, timed to complement the email cadence. Multi-sender infrastructure means LinkedIn volume is spread across multiple accounts, staying within safe operational limits.
Reply handling is wired back to the CRM. Positive replies update deal stage and alert the rep. The sequence pauses automatically. Nothing falls through the gap between the sequencer and the CRM.
